Position Responsibilities

 

IPS is hiring!  We are looking for a motivated and talented Project Accountant to join our industry leading Accounting Department at our growing Birmingham, UK office. 

 

Reporting directly to the COO the Project Accountant will manage the accounting functions of assigned business units and projects effectively and efficiently with a helpful and friendly customer focused attitude. They will work in conjunction with the Director of Projects, Project Managers, Project Teams, Central Accounting Team and Office Manager.

 

Job Duties and Responsibilities

  • Responsible for all accounting functions relating to assigned projects (e.g. invoicing, accounts payable, accounts receivable, etc.). Provide administrative and clerical support on assigned projects as necessary. 
  • Work closely with and take direction from the central accounting team, located at IPS’s Headquarters in the USA, for project accounting and financial reporting requirements. Some general non-job-specific accounting functions may be assigned to/rotated among the various accountants.
  • Manage VAT requirements for all Europe based projects, including VAT related to employee expenses, subconsultant invoices, and owner invoices.
  • Monitor special payment arrangements to assure that time-sensitive payments are made on time.
  • Enter owner change orders, changes to estimates, subcontracts, subcontractor change orders and purchase orders.
  • Assist with the monthly preparation of Work In Progress report which will include contract value reconciliations and estimated cost projections.
  • Proactively monitor and facilitate collections of outstanding receivables.
  • Set up projects and contracts in Timberline, which includes entering budgets based on approved schedule of values.
  • Record subcontractor commitments which are provided by the Contract Administrator and approved by the Project Manager/Design Manager. Subsequently compare amounts to the appropriate line items on the schedule of values.
  • Review approved subcontractor progress payment applications and reconcile them against previous submissions. Reconcile schedule of values on application to subcontractor commitment. When necessary, work with Project Manager and subcontractor to obtain revised subcontractor billing.
  • Support Project Managers and Project Controls with progress and earned value measurement and analysis.
  • Perform company expense report administration.
  • Compile submitted payment requests from subcontractors and suppliers and in order to produce payment requests which will be submitted to the owner. Reconcile current payment requests for owner payment to previous submissions.
  • Obtain releases of liens from all suppliers and subcontractors when required.
  • Maintain ongoing records of retainage which is being held on subcontracts/vendors. Review contracts for release of retainage language and notify Project Manager of any upcoming releases.
  • Provide financial and accounting information as requested.
  • Perform Job close out duties which include reconciling commitments, archiving files, and closing jobs in the accounting system(s).
  • Perform all duties while utilising a strong sense of fiscal responsibility.
  • Monitor and enforce IPS company policies and procedures on assigned projects.
  • Special projects as assigned. 

 

Qualifications & Requirements

  • Associates degree or 3-5 years of equivalent experience, including 1 year minimum in construction accounting, is required. Bachelor's degree in Accounting/Finance or a related field is preferred.
  • Ability to effectively manage time and prioritise work in a manner that ensures deadlines are met.
  • Proven working experience managing a large amount of documentation and information in an organised manner with good attention to detail.
  • Possess a sense of urgency and the ability to multitask while meeting multiple deadlines.
  • Good interpersonal skills and the ability to efficiently interact with both internal and external contacts.
  • Ability to work effectively on a team and has excellent customer service skills.
  • Ability to communicate effectively both in writing and verbally.
